Connect the mileage to the block
Keep the block date and time, collection location, delivery route, start and end readings and any return-to-depot journey together. Note route changes, undelivered parcels or an additional collection so the final distance can be explained.
Depot travel needs a factual assessment
Do not assume that every mile to or from a depot qualifies. Travel from home to a regular workplace can be ordinary commuting, while travel within the delivery work may be business travel. Different collection points and working patterns can change the analysis, so preserve the locations and purpose.
Use overlapping evidence
Odometer readings show distance; a route trace shows where the vehicle travelled; block records show why. Together they are stronger than a single estimated total. Review missing GPS and unexplained mileage before the end of the week.
Simplified mileage or actual costs
Eligible self-employed drivers can consider simplified mileage or the business proportion of actual running costs. For 2026/27 the simplified rate for cars and goods vehicles is 55p for the first 10,000 business miles and 25p afterwards. Do not add fuel, insurance, repairs or servicing on top of that rate.
Compare records before choosing and check restrictions if capital allowances or actual vehicle costs have already been claimed.

Should I stop tracking after the last parcel?
Not automatically. A required return or another business leg may matter. Record what happened and why rather than using a blanket endpoint.
Can I estimate from the planned route?
Actual records are stronger. Planned mileage may not include diversions, returns or corrections.
