Bicycle costs need actual records

The sole-trader simplified vehicle table covers cars, goods vehicles and motorcycles, not bicycles. For cycle delivery work, keep invoices and receipts for eligible repairs, servicing, parts and equipment, then account for personal use where necessary.

An e-bike’s legal classification matters. Do not automatically apply the motorcycle rate to every electrically assisted cycle.

Cars, vans and motorcycles

Eligible self-employed riders using cars or vans can consider simplified mileage or actual vehicle costs. Motorcycles have a 24p simplified rate. Do not claim fuel or other running costs on top of simplified mileage for the same vehicle.

Delivery kit and safety equipment

Delivery bags, lights, locks, mounts, chargers and genuinely protective equipment may have a business connection. Everyday clothing remains personal even if worn on shift. Keep the receipt and a short note explaining how the item supports the work.

Phone, data and platform records

Claim the reasonable business share of mixed phone and data use. Retain platform statements showing gross income and any fees or adjustments, rather than recording only the amount received in the bank.

Review recurring and mixed-use costs

Subscriptions, insurance or repair plans can be easy to keep after the business use changes. Review recurring expenses and the business percentage at least each tax year, and record reimbursements or refunds.

Is there a 20p bicycle rate for self-employed riders?

HMRC’s simplified-expense table for sole traders does not provide a bicycle rate. Employee mileage rules are separate and should not be copied across.

Can I claim ordinary trainers or a coat?

Ordinary clothing is generally personal. Protective clothing and uniforms are considered under different rules.

Can I claim repairs if the bike is also personal?

You need a reasonable business-use split and evidence. Only the business element should be considered.
